Sustainable journeys privacy notice

Our core data protection obligations and commitments are set out in the organisation’s primary privacy notice.

This notice provides additional privacy information for: representatives of businesses on the Business Travel Network; entrants in competitions run in relation to sustainable travel; people who take part in consultations and surveys about sustainable travel; representatives of applicants to the Sustainable Travel Grant scheme; users of the CarshareGM website; jobseekers and apprentices who have applied to the Jobseeker or Apprentices ticket schemes; people who have applied for the Bike Back to Work Scheme; attendees at events run by the Sustainable Journeys team; Travel Champions; representatives from JobCentre Plus and apprenticeship providers; stakeholder colleagues in the Greater Manchester Local Authorities, from engaged local schools or communities, and other active travel professional contacts, and members of the public who are interested in cycling and walking.


Purposes

We collect or obtain your personal information for the following purpose(s):

  • Business engagement regarding sustainable travel choices (the Business Travel Network);
  • To conduct prize draws;
  • For consultation and research about travel habits by businesses, the public, and staff and students of schools;
  • To administer Sustainable Travel Grants for businesses;
  • To administer the Accreditation Award for business for sustainable travel;
  • To administer events;
  • To distribute newsletters to the Business Travel Network;
  • To offer an online car sharing website (CarshareGM);
  • To evaluate and monitor the Jobseekers and Apprentice ticket schemes;
  • To evaluate and monitor the Bike Back to Work Scheme; and
  • To administer and evaluate Travel Champions training.
  • To contact colleagues in the Greater Manchester authorities, and other key regional contacts about active travel;
  • To track the location of fleet bikes, and eBikes loaned to external organisations;
  • To deliver training courses for cycling and cycle maintenance;
  • To book eBike loans to organisations (organisational contacts only – organisations are responsible for loaning these bikes to individuals);
  • To undertake research about cycling and walking;
  • Photographs for use in presentations and publicity material about cycling and walking;

Categories of personal data

In order to carry out these purposes we collect and obtain:

  • Personal details;
  • Visual images, personal appearance and behaviour;
  • Employment and education details;
  • Goods and services provided;
  • Business activities of individuals;
  • Details of complaints;
  • Family details;
  • Financial details;
  • Incident and accident details;
  • Licenses, permits or certificates held

We may also collect, store and use the following special category personal information:

  • Health
  • Race or ethnic origin;

Legal basis for processing

The legal basis we rely on for processing your personal information is:

  • The processing is necessary for the performance of a contract with the data subject;
  • The processing is necessary for the performance of a task carried out in the public interest or in the exercise of official authority vested in us in s10A of the Transport Act 1968 or s99 of the Local Transport Act 2008.
  • Marketing purposes: where we have asked and you have consented to receive electronic marketing information about our services (you may withdraw your consent at any time)

The legal basis we rely on for processing your special category personal information is:

  • Processing is necessary in the substantial public interest, specifically to ensure equality of opportunity or treatment;
  • Processing is necessary in the public interest, scientific or historical research purposes or statistical purposes.

If you fail to provide certain information when requested, we may not be able to perform the contract we have entered into with you (for example, delivering cycle training to you), or we may be prevented from complying with our legal obligations (for example, promoting and improving the environmental wellbeing of Greater Manchester by encouraging more people to make sustainable travel choices).


Information sharing recipients

We may share personal information about you with the following types of organisations:

  • Suppliers and delivery partners – for delivery of services on our behalf.
  • Local Authorities, including Greater Manchester districts – for the purpose of operating our services including the Business Travel Network
  • the Greater Manchester Combined Authority - for the purpose of administrating the apprentice offer

We only collect information directly from you.
