Transport for Greater Manchester ["TfGM"] is undertaking a consultation on their Draft School Travel Strategy.
Transport for Greater Manchester (TfGM) are committed to improving travel to and from places of education across Greater Manchester. The draft School Travel Strategy sets out the vision and approach to enabling more young people to walk, wheel, scoot, cycle or use public transport to get to school and access further education.
The consultation will gather views on the draft Strategy, and ask questions to help understand current travel to school behaviour, barriers, and some informaton about you. This will help shape the final version of the Strategy.
This notice
TfGM have commissioned SYSTRA Ltd to carry out this consultation, though an online self-completion form, through a self-completion paper form or via unstructured responses via post or email.
SYSTRA and TfGM are committed to making sure that we tell you about the ways in which we use your personal information and that we have the right controls in place to make sure it is used responsibly and kept safe from inappropriate access, theft, or misuse.
We are providing you with this notice so you know what data we are collecting from you as part of this consultation; what we are going to do with it; and your rights over our use of your personal data.
Your personal data
Personal data relates to a living individual who can be identified from that data. Identification can be by the information alone or in conjunction with any other information.
Special category personal data is more sensitive personal data.
The processing of personal data, including special category data, is governed by the UK General Data Protection Regulation (“GDPR”), and associated legislation including but not limited to the Data Protection Act 2018.
Who are we?
TfGM are Data Controllers for the data collected through this consultation. This means they have decided how your personal data is processed and for what purposes.
SYSTRA Ltd (SYSTRA) are Data Processers, they are responsible for storing and processing your personal data. SYSTRA are Cyber Essentials and ISO20252 accredited (certificate number: 9208368).
How are we collecting information?
The online data collection is being undertaken by SYSTRA. The consultation will use online data collection. All data will be collected through SNAP Surveys software, which is ISO 27001 and GDPR compliant. Read SNAP Surveys GDPR statement.
All consultation questions, including those personal data are optional, meaning you can skip the question and do not need to provide the data if you would prefer not to.
You may complete a paper version, which is available at communities venues in Greater Manchester. These will be sent back to FREEPOST SYSTRA RESEARCH and received at SYSTRA's offices.
You can also submit an unstructured response directly to TfGM via email. These will be shared with SYSTRA securely for the purposes of analysis.
What information is being collected?
The consultation will ask for your views on different parts of the Draft Strategy.
As part of the consultation we will ask you questions that will capture personal data, including special category data. This includes questions on your: age; gender; ethnicity (special category); disability status and postcode data. All fields relating to personal data are optional.
Why is it being collected?
This activity operates on the following lawful basis’s 6 1(e): the processing is necessary for the performance of a task carried out in the public interest or in the exercise of official authority vested in the controller.
We are collecting the data to help shape the School Travel Strategy. We are asking questions on your demographics to understand any differences between different groups of people.
How will it be used?
All personal data held as part of this project is encrypted and access restricted to only those working on the project.
Your data will be analysed anonymously with all other participant data. SYSTRA will report the findings of the consultation to TfGM. No individual will be made identifiable during reporting, however, we may use quotes attributed to demographic characteristics where provided, e.g. 'Male, 25-44' and analyse the data in aggregate form by demographic characteristics or provide high-level mapping of responses by postcode area.
TfGM and SYSTRA comply with their obligations under the GDPR by: keeping personal data up to date; by storing and destroying it securely; by not collecting or retaining excessive amounts of data; by protecting personal data from loss, misuse, unauthorised access and disclosure and by ensuring that appropriate technical measures are in place to protect personal data.
Who will it be shared with?
Data collected and stored by SYSTRA and TfGM will be stored in the United Kingdom.
Your data will only be shared between SYSTRA and TfGM, and no other third party.
Data will be shared using a secure file transfer tool.
Reports will not contain any personal data, however, we may use quotes attributed to demographic characteristics, e.g. 'Male, 25-44, Parent/Guardian' or 'Female, Local Resident, Salford'.
How long do we keep your personal data?
SYSTRA will delete your personal data within 6 months of the completion of the project, by end of 2025.
TfGM will retain the data for a maximum of 2 years and will delete as soon as possible, when no longer required.
Your rights and your personal data
You have the following rights with respect to your personal data:
- The right to request a copy of your personal data which SYSTRA holds about you;
- The right to request that SYSTRA corrects any personal data if it is found to be inaccurate or out of date;
- The right to request your personal data is erased where it is no longer necessary for SYSTRA to retain such data;
- The right to withdraw your consent to the processing at any time;
- The right, where there is a dispute in relation to the accuracy or processing of your personal data, to request a restriction is placed on further processing;
- The right to object to the processing of personal data; and
- The right to lodge a complaint with the Information Commissioners Office.
